Stride Physio seeks an energetic, friendly and team-oriented Office and Client Care Coordinator for our busy physical therapy and wellness clinic.  Stride Physio is a woman owned, orthopedic, sports, and wellness oriented physical therapy clinic at the north end of Lake Union in Seattle, Washington.

This full-time position is suited for someone who is reliable, responsive and agile in handling multiple tasks and people.  The successful candidate is facile with both the details and the systems but also enjoys connecting with the team and clients.  This position is at the helm of overall clinic operations and customer relations, so it’s crucial that this person is organized, collaborative and a good communicator.  The Office and Client Care Coordinator sets the tone for a healthy, happy and nurturing experience.  If high level service matters to you and juggling multiple demands and playing well with others is your wheelhouse, then please apply.

Responsibilities

For Client Care Coordination role:

  • Greet all incoming clients with a friendly and courteous demeanor
  • Answer the telephone promptly and schedule clients
  • Process payments
  • Communicate with clients promptly via text, email and phone
  • Verify and enter client registration data into EHR in a timely fashion
  • Verify and explain client’s insurance benefits
  • Be a liaison between client and therapist, relaying important questions and messages
  • Help maintain the tidiness of the clinic, including office supply closet, laundry and gym space
  • Obtain medical releases and acquire records from outside providers
  • Fax client’s plan of care to referring providers and document communication in the clients’ chart
  • Implement HIPPA compliance
  • Monthly report of work to supervisor & staff
  • Attend continuing education seminars, in-services, & meetings
  • Comply with all CoVid-19 policies/procedures
  • Run errands and performing miscellaneous job-related duties as assigned

For Office Coordinator role:

  • Manage all office equipment and supplies
  • Manage Medicare plans of care
  • Obtain and manage prior authorizations from managed care organizations
  • Evangelize the work of the therapists & overall clinic
  • Update and optimize Google business platform
  • Create & implement office efficiencies
  • Sort and manage faxes, communicating with referral sources
  • Communicate office policies and changes with all staff
  • Coordinate calendars/schedules of all staff
  • Organize and coordinate clinic events including open houses, guest speakers, wellness collective, staff parties

Qualifications

  • Undergraduate degree preferred
  • 1+ years of customer service and/or office experience
  • Outstanding organizational skills
  • Detail oriented and exceptional follow through on projects
  • Excellent oral and written communication skills
  • Ability to work independently and part of a team
  • Ability to multi-task while remaining friendly and courteous to clients
  • Strong data entry skills
  • Experience working with Microsoft Office, Electronic Health Record (EHR), Google suite
  • COVID vaccination
  • Must be dog friendly (as we are a dog friendly office!)
